A series groups a recurring night, such as "Sunday Sessions", so you can create its nights in one go, apply changes across them and report on it as one thing. Each night is still a real event, with its own tickets, tables and guest list.
Open Events, then the Series tab. Each series shows how often it Repeats, how many Nights it has and how many are still to come, and the Next one. Show archived includes finished series.
Create a series
Press New series, here or on the events list:
- Name (required). The name is the brand, for example "Sunday Sessions". Each night gets its own name with its date on it.
- Every: how often. Every day, week, month or year, or every so many of them, such as every 2 weeks.
- Ends on: optional. Leave it blank to run with no end date, which most weekly nights do.
- Description: optional.
Press Create series. This creates the series only. You add its nights next.
Add nights
On the series page, press Add nights:
- For the first nights: First night starts and First night ends. The first night sets the pattern, and every one after it steps forward by the same amount.
- Later, it carries on from the last night, and says so, such as "Counting on from the last night. Every week."
- How many: up to 52 at a time, which is a year of a weekly night.
Press Add. The nights are added as drafts, so nothing goes on sale until you publish them. Each keeps the same time on your venue's clock, even through a change to or from summer time.
Set up the first night's tickets and tables before adding more. Every new night is a copy of the series' first night: its tickets (with their counts reset), tables, inclusions and sales-window timing. Sales are never copied.
If the series has an end date, adding stops there; change the end date to go further.
Publish the nights
The series page counts the nights Since the series started, Still to come, how many are still Drafts, and the Expected guests across the nights to come.
While there are drafts, a box says how many nights are not on sale yet. Press Publish all to publish them. If one cannot be published, the others still are, and you are told which one and why. To publish one at a time, open the night and press Publish event.
The nights
Each night is listed with its date, Expected guests and Status. Open one to change its tickets, tables or guest list. Its settings can apply a change to the nights after it as well.
Music
The genres every new night starts with. A night can still be changed on its own. Tick Also apply to the nights to come to change the ones already created as well. Press Save changes.
Automatic email
A series can email its past guests before each night, on its own. See Automatic emails.
Rename a series
In More actions, choose Rename. Tick Rename the upcoming nights too to rename them with it. Each keeps its own date in its name. Nights that have already happened are never renamed, because customers bought those under the old name.
Archive a series
In More actions, choose Archive. No more nights can be added. Every night it already created stays exactly as it is: still published and still selling if it was. Nothing is cancelled and no customer is affected.
To cancel a night, open that night and cancel it there, because cancelling refunds its customers. See Cancel event.
