The Overview tab answers "how is this night going". It changes through the night: from two hours before doors until four hours after the end, the door's live picture comes first, and the sales picture follows under Sales.
Before the night
The numbers
- Expected guests: everyone who is coming, from tickets, tables and the guest list.
- Tickets sold, with how many are left (or Unlimited left), and how many guests the tickets admit.
- Tables sold, with how many people (PAX) are booked on them.
- Guest list: how many names, against the list's allowance if you set one.
- Revenue, with the amount refunded if there were refunds, and the number of orders. If your role cannot see revenue, it is left out rather than shown as zero.
- Owed on arrival: table balances still to be paid at the door.
Capacity
What has been sold against the event's capacity:
- Sold: places sold out of the limit.
- Committed: everyone coming, guest list included.
If the event is over its capacity, nothing more can be sold or added to the guest list until the capacity is raised or the guest list is cut. If no capacity is set, Set a capacity takes you to Event settings.
Tonight
The event's status (Published or not, On sale or not), its doors, start and end times, and Sell at the door, which opens New sale.
What is selling
Each ticket with how many are left, and At this pace: whether it will sell out before sales close at the current rate. Manage tickets opens the Tickets tab.
Forecast
Where this night is heading, from earlier nights like it: nights in the same series, or otherwise on the same weekday. It needs at least 3 past nights to work from, and says how many it has until then.
- Booked by the night: a range, and whether it may reach capacity.
- Through the door: a range, guest list included.
- Ticket and table sales: a range, and about how much a head.
- Pace: how many are booked so far against what similar nights had at this point, and whether you are ahead or behind. When behind, Write a campaign starts an email to push it.
- How accurate past forecasts were at this point, and the nights it is based on.
- Public holidays near the date, and the weather, when your venue's location is set.
It is a guide, not a promise. You need See reports to see it.
When people arrive
From the door scans of earlier nights like this one: the busiest half hour, and when half and nine in ten of people are in. Useful for staffing the door.
Who likes this music
If the event has music genres set, a line says how many of your customers like that music, because they came to or bought nights with it before, with an Email them button.
On the night
From two hours before doors, the top of the tab shows the live door picture, refreshed every 10 seconds:
- In the room: how many are in, and when the last person arrived.
- Still to come, of everyone expected.
- Last 15 minutes and the last hour.
- Of capacity: how full the room is.
- Refused in the last hour: codes the door turned away, and why.
- Arrivals: a chart of each quarter-hour since the first person came in, with the busiest quarter-hour.
- Who is here: arrived against expected for Tickets, Tables and Guest list.
- Tables: parties still to arrive first, who booked them, and what each owes at the door, so the door can collect it.
- At the door: the last thirty things that happened, newest first, refusals included, with the result, who scanned, how many people and which door. Undo on an admission reverses it, whichever door made it: they stop counting as in the room and their code can be scanned again. Add an optional reason; it is recorded in the activity log. Needs Check guests in.
After the night
Once the event has finished, the figures are final unless a door reverses something. No-shows shows how many of those booked came through the door, and who did not come, split by who sold the booking.
