How a nightclub runs on Floorful
Ticketing software for a nightclub has to do more than sell tickets. The same night has tickets, VIP tables, guest lists and promoters, and they all share one room. This is how each part works, from setting up the night to counting what it made.
Setting up a night, or a whole season
Create the night once with its date, doors, capacity, minimum age and entry rules, then add the ticket types and tables you sell. A weekly residency is a series: Floorful creates the nights for you, each one keeping the same time in your venue's clock, including through a daylight saving change.
Capacity is counted in people, not orders. A table for eight, a ticket for one and a guest list name with three plus-ones all count against the same room, so you never sell more than the door can take.
Selling tickets
Each ticket type has its own price, quantity, limit per order and sales window, so early bird can end at a set time and the next release starts by itself. Promo codes give a percentage or a fixed amount off, for every night or just one, and complimentary tickets go out with no payment at all.
The booking page carries your brand, in English and Spanish, and can live on your own domain. Guests pay by card, Apple Pay or Google Pay, and the booking fee is added to their price, so the ticket price you set is what you receive.
VIP tables and bottle packages
Your floor plan shows every table where it really is. Each table has a fixed price or a minimum spend, a deposit if you take one, and a guest range. You can add what comes with it, such as bottles, including a choice between two, and allow extra guests beyond the table's size for a set price each.
Bookings by phone or WhatsApp go out as a payment link, and the table is held while the guest pays. A table can be held for a name until a set time, moved to another table, or settled at the venue on the night, with the balance shown to the door.
Guest lists and promoters
Guest list names are real admissions, each with its own QR code, emailed automatically when the guest has an address. Import a list a promoter sent you, or let promoters add names from their own portal, within the limit you give the list.
Promoters work in teams, each with links per event and per person. Every sale through a link records who sold it, commission is worked out as a percentage or a fixed amount, and it is reversed when a sale is refunded. Promoters see their own sales and customers, and never handle the money.
The door
The door app runs on staff phones, signed in with their own login. It downloads the night before doors open and keeps scanning offline, then sends the scans when the connection comes back. Several doors share one count, and a ticket admitted at one door is refused at another with the reason on screen.
Tables arriving in parts are checked in a few people at a time, members show their member price, and an outstanding balance is shown and can be taken at the door.
After the night
Reports cover any night or period: sales, tables, tickets, channels and money, with a heat map of the floor plan showing which tables earn the most. Promoter commission is already worked out, owed and paid.
Every booking builds your own customer list, with what each customer spent and how often they came. Email campaigns go to the customers who agreed to hear from you, with the bookings each campaign brought in, and the forecast for the next night uses your own history, the weather and public holidays.
