Open Inventory, then the Floor plan tab. You lay out your rooms and tables once here, and every event reuses the layout. Changing the plan does not change any event already set up: each event chooses its own tables and prices on its Tables tab.
Customers pick their table on this plan when they book.
You need See the floor plan and tables to open it and Edit the floor plan and table prices to change it.
Create your plan
Press Create floor plan. It starts as "Main floor" with no areas.
Upload a drawing
Under Drawing, press Upload a drawing: a picture of the room to place your tables over, such as an architect's plan, a fire-safety plan or a sketch. PNG, JPEG or WebP. It is fitted inside the plan, never cropped, and shown on your public event page too.
- If the drawing's shape differs from the plan's, it shows with strips at the sides. Resize the plan to fit makes the plan the drawing's shape.
- Strength: how strongly the drawing shows under the tables.
- Invert on dark pages: a black-on-white drawing becomes white-on-black, here and on a dark storefront. Not for photographs.
Plan settings
Plan settings changes the plan's Name, Width and Height (in canvas units, 200 to 10000). Shrinking is refused while a table would fall outside; move the table first.
Areas
Areas group your tables, such as Main room, Terrace, VIP or Rooftop. Press Add area and give it a name. You can position and size it on the plan afterwards.
Under Areas, each area shows how many tables it has, with:
- Add table.
- Rename: the name customers see on the public plan and in their booking. Past bookings keep the name they were made with.
- Remove: only once it is empty. Move its tables to another area, or remove them, first.
Tables
Press Add table on an area:
- Number or code (required): shown as "Table 12"; the word Table is added for you.
- Max guests (required): people, not bookings.
Placing tables
Drag a table to move it, and drag a corner to resize it. Right-click a table for Rotate 90°, Swap width and height, Duplicate and Delete. Arrow keys nudge it (hold Shift for fine steps, Alt to resize), and Ctrl with the scroll wheel zooms. Use the zoom buttons, or Fit the whole plan, to see everything.
On a phone, tap a table to edit it; its settings open at the bottom of the screen.
Table settings
Select a table to edit it:
- Table: its number or code.
- Note: shown to guests, such as "By the DJ, sofa seating".
- Min guests and Max guests.
- Area.
- Shape: Rectangle, Round or Booth.
- Position and size, and Rotation.
What this table costs:
- Pricing model:
- Table price: what the guest pays for the table itself.
- Minimum spend: what the guest commits to spending at the venue.
- The amount. A table with no amount cannot be sold yet. If you set a default minimum spend, a minimum-spend table without its own uses it, and the field says so.
- Deposit: taken at checkout, with the rest owed at the venue. Leave it empty to take the full amount. A line under it sums it up, such as "Guest pays 200 € now, and 300 € of spend is due at the venue".
- Extra guests: how many places beyond max guests, and the Price each, paid in full online. Empty means none.
Duplicate copies the table, and Remove removes it. A table that has never been used at an event is deleted. One that has is deactivated instead, so past events and their bookings still make sense.
Press Done when you have finished with a table.
More than one plan
For a second floor, or another layout of the same room for a different kind of night, press New plan:
- Name, such as "First floor".
- Start from: An empty plan, or A copy of an existing plan, to start from its tables.
Each plan has its own areas and tables. An event sells on whichever plans have tables on sale on its Tables tab.
Archive plan, in Plan settings, removes it from this page and from new events. Past events keep their bookings. It is refused while an upcoming event still sells a table on it.
Keeping your tables when you redraw
If you redraw your room, move your existing tables rather than removing them and adding new ones. Bookings belong to the table, so a table you keep keeps its bookings and its history.
