Open an event and choose Settings, the last tab. The event's Overview tab tells you how the night is going. Settings is where you say what the event is.
You need a role that can edit events to change anything here. Without one, you see the same screen with every field read-only.
Published and on sale
The box at the top shows two badges, because they are not the same thing:
- Published means the event is visible to the public.
- On sale means customers can buy right now.
An event can be published and not selling. The line under the badges says why. For example:
- Published, but nothing is on sale yet. Sales open on their own at the start of the sales window.
- Sales are paused by staff. The event is still visible. Somebody pressed Pause sales in the event's header.
- Everything available has sold. Sales start again by themselves if tickets or tables become free.
- The sales window has passed.
You publish an event, pause its sales or resume them from the buttons at the top of the event, not from this tab.
Details
What customers see on the event page.
- Event name (required). The name on the event page, tickets and emails. Renaming an event does not change its link (see Event link).
- Who can see it (required).
- Listed publicly: on your public event list.
- Unlisted: not on your list. People reach it only with the direct link, for example a private party or a promoter-only night.
- Description. The text on the event page. Use the language buttons above the box to write it in your customers' other languages. If you leave a language blank, customers reading in that language see the text in your venue's main language.
- Music. Up to 5 genres. Floorful uses them to find the customers who like this kind of night, for example in segments and campaigns.
- Location. Only if the event is not at your venue. It shows under the event's date on the event page.
- Poster. Portrait, 2:3, like a printed poster. PNG, JPEG or WebP of any size: it is cropped and resized to 800×1200. It is the event's card on your public list, and it sits beside the title on the event page when there is no cover image.
- Cover image. Landscape, 16:9. PNG, JPEG or WebP of any size: it is cropped and resized to 1600×900. It runs across the top of the public event page only. Without one, the poster is shown there instead.
The poster and cover image save as soon as you upload or remove them. Everything else on this tab waits for Save changes.
Event link
The event's public address, for example tickets.floorful.app/your-venue/friday-night. If your venue has its own domain, the link uses it.
The link does not follow the event's name, because it is already on posters, in bios and in promoters' messages. To change it, press Change link:
- Use lowercase letters, numbers and single hyphens, from 2 to 64 characters.
- A few words are reserved for Floorful's own pages, and the box tells you if you pick one.
- If the link differs from the event's name, a button offers the name as a link, for example Use the event's name: friday-night.
Every link the event has had keeps working and forwards to the new one.
When
All times are in your venue's timezone, whatever timezone your computer is in.
- Starts (required). When the event begins.
- Ends (required). A night that runs past midnight ends on the next day, so pick the next day's date.
- Doors open. Only if doors open at a different time from the start. Leave it empty and doors open at the start time.
Once a ticket or a table has been sold, these dates are locked here. To move the night, use Postpone in the event's More actions menu. Postponing moves the doors, the sales window and every ticket with it, records why, and tells the people who bought.
Sales window
When customers can buy. Sales open and close by themselves: you do not need to switch anything on.
- Sales start. Leave it empty to sell as soon as the event is published.
- Sales end. Leave it empty to keep selling until the event ends.
Apply to the rest of the series
Only shown when the event is one night of a series, for example every Friday. Before you press Save changes, choose which nights the save reaches:
- This event only. Changes this night and nothing else.
- This and all following. Changes this night and every later one in the series. Nights that have already happened are never touched.
- All following, not this one. Leaves this night as it is and changes every later one, for when tonight is the exception.
Only the shared details travel to the other nights: the description, music, location, minimum age, entry rules and who can see it. Each night keeps its own:
- Name, because each night's name carries its own date. Rename a whole series on the series page.
- Dates, sales window and capacity, because they belong to that night.
After saving, a message says how many other nights changed, and how many of them already had tickets sold.
Entry
Capacity is counted in people, not tickets.
Capacity
The total number of people admitted. Tickets sold and guest list places both count towards it, and sales stop when it is reached.
Press Set capacity (or Change, once it is set) to open the capacity window:
- Capacity (required). It cannot go below the people already committed, that is tickets sold plus the guest list. The window tells you that number.
- Reason (required). For example "Terrace open, licence varied for the night". It is recorded against the event with who changed it and when, and shows in the activity log.
Under the number, a line compares capacity with what you have put on sale:
- No capacity set, so nothing will ever be marked sold out.
- Configured for 180 of 200 guests. Everything you sell fits.
- Configured for 240 guests against a capacity of 200. That is allowed, since venues sell a little over capacity because of no-shows. Sales still stop at 200.
- If something on sale has no limit, the total cannot be worked out, but sales still stop at capacity.
Promoters
Whether your promoters can sell this event. Press Keep promoters off or Let promoters sell. It takes effect straight away, without Save changes.
When promoters are off, the event leaves their portal and the listing behind their links. They cannot sell it or put names on its guest list, and nobody earns commission on it. Customers still buy as normal.
Members
Whether membership cards get people into this event. Press Turn members away or Admit members. It takes effect straight away.
Turn members away for a special night that members pay for like everyone else. The door app marks the event NO MEMBERS TONIGHT and does not let membership cards in.
Minimum age
A number from 0 to 99. Customers see "Over 18s only", for example, on the event page and on their order.
Entry rules
Anything people need to know before they come: dress code, ID, last entry. You can write it in your customers' other languages too, like the description. It shows on the event page, on the customer's order and on guest list invitations.
Saving
Save changes saves the details, dates, sales window, minimum age and entry rules together, to the nights you chose if the event is in a series. It is greyed out until something has changed. Discard changes puts every field back as it was.
The poster, cover image, link, capacity, promoters and members save on their own, as you change each one.
