Open an event from the events list. The top of the page stays the same whichever tab you are on: the event's name, date and status, its public link once it is published, and the buttons for what you can do with it.

The tabs

You only see the tabs your role can use. Staff without access to orders, for example, do not see Sales.

The buttons

Which buttons show depends on the event's state and your permissions.

  • Publish event, on a draft. It goes on your storefront, and on sale when its sales window opens. Needs Publish, pause and postpone events.
  • New sale, on a published event that has not finished. Sell tickets or tables at the counter or the door. See New sale. Needs Sell at the door or box office.
  • Email customers, on a published event still to come. Starts a campaign with this event already chosen. Needs Write and send email campaigns.
  • Share, once published. The link, and ready-made pictures of the event for social media and stories.
  • Resume sales, when sales are paused.

Everything else is in the More actions menu (the three dots).

Pause sales

Stops sales while the event stays published and visible. Customers cannot buy until you press Resume sales. You can add an optional Reason, such as "Waiting on the licence". It is shown to your team on the event and recorded in the activity log.

Postpone

Moves the night to a new date. Every ticket already sold stays valid: nobody is refunded and nothing is cancelled. A customer who cannot make the new date is refunded one by one, from their order.

  • New date (required). The doors, the sales window and every ticket release move by the same amount, keeping the gaps you set.
  • Ends. Leave it empty to run for the same length as before.
  • Reason (required). Ticket holders are told this, so they know which night their ticket is for. For example "The headliner is ill. Same line-up, two weeks later."

The event then shows Moved from the old date, and that every ticket already sold is still valid for the new one. Only for a published event that has not started.

Duplicate

Makes a new event from this one. It copies the tickets, tables and inclusions, but never the sales. The copy starts as a draft, so nothing goes on sale until you publish it.

  • Event name and Web address. The web address must be different from the original.
  • New date, and Ends. Leave Ends empty to run for the same length as the original. The doors, sales window and every ticket release move with the date.

Needs Create events.

Archive

Files a finished event away from your active list. Its orders, tickets and reports are all kept. Archiving is not cancelling: it refunds nobody, and it is only offered once the event has ended.

Cancel event

For a night that is not happening. If it is moving instead, use Postpone.

Cancelling cannot be undone. Sales stop straight away, issued tickets stop working at the door, everyone who bought becomes eligible for a full refund, and commission on those sales is reversed.

The window shows how many paid orders there are and how much goes back to customers: tickets and tables at what they were charged, plus your booking fee. Floorful's fee is not refunded on a cancellation.

  • Reason (required). Recorded in the activity log and shown to customers with their refund. For example "Headliner cancelled".
  • Refunds (required). Choose one:
    • Refund automatically. Every paid order is refunded through Stripe, back to the card the customer used.
    • Record as owed, I will refund. Nothing is sent to Stripe. Every paid order is refunded on paper, and you give the money back yourself, for bank transfers or where you have already handled it.

Press Cancel event. The event then shows This event was cancelled, with the refunds:

  • With Refund automatically, press Refund everyone to send them to Stripe. The box counts them as they go, such as "12 of 40 paid orders refunded". It is safe to press again if it stops part-way, and Send the rest to Stripe finishes the job. Someone with the Refund an order permission needs to run it.
  • With Record as owed, each order shows its refund as not yet sent. You can still send any of them through Stripe from the order. See Order details.

Only for a published event that is not live and has not finished. Needs Cancel an event and refund everyone.

Delete draft

Only on a draft. It removes the event and everything set up on it: tickets, tables, inclusions. Nothing has been sold, so nothing financial is lost. A record of the deletion stays in the activity log. Needs Delete a draft event.
