Tables
Booked tables
Where every booked table stands tonight. The top line counts the tables, the people expected and the people arrived. For each table:
- Table, with how many it seats, any extra guests, and over capacity or Oversold if more are expected than it takes. A table that was changed shows Moved from the old one.
- Booked by: the customer.
- PAX: people expected, including any added since booking.
- Arrived: how many are in, and when the first came.
- Owed at the venue: what the booking still has to pay, or what is due back if it has paid more than it now costs.
Collect balance appears on a table that still owes money. In its menu (the three dots):
- Add guests. Needs Sell at the door or box office.
- Change table. Needs Take a table out of service.
- Mark table cleared, when the party has left, puts the table on sale again for tonight. Not cleared yet undoes it. Needs Check guests in.
- Refund balance, when the booking has paid more than it now costs. Needs Refund an order.
Table payments
Under the booked tables, every payment against a table, newest first: deposits, balances and refunds, each on its own order. Owed is what the booking still has to settle at the venue.
Collect a balance
For a table taken on a deposit, or one that has grown. Press Collect balance. The window says how much is still owed. On a minimum-spend table, what is paid now is prepaid spend on the night, like the deposit. No booking fee is added: that was charged with the booking.
- Amount: leave it blank to collect all of it, or enter part.
- How:
- Send a payment link: Floorful makes an order and a link for the customer to pay online. Press Create the order and send a link.
- Taken at the venue: you took the money yourself. In How the money was taken, write a till number or transfer reference. Press Record the payment.
The door app can also collect a table's balance as the party arrives. See Door app.
Add guests to a table
When the party grows. Choose Add guests:
- How many guests.
- Price each: leave it blank for no charge.
- Complimentary: nothing is charged and no Floorful fee applies. A Reason is required, such as "Artist plus one". Needs Give complimentary tickets and tables.
If it would put the table over what it takes, the window says so. That is allowed if you tick I am authorising this table to go over its capacity and give a reason, which is recorded with your name. Only someone with Edit the floor plan and table prices can tick it.
Press Create the order. A paid addition creates an unpaid order on Orders: the guests are added, with their own QR codes, once the payment is recorded. A complimentary one adds them once you issue it.
Change table
Move a party to another table, for example when the group grows. The window shows the party's size and price, and every table that could take it:
- Move party to a free table, at that table's price.
- Swap tables with another party, who moves to this one.
Under each choice it says what the booking would then owe, or what would be due back, so you can settle any difference in the till, or with Collect balance or Refund balance. Add an optional reason, such as "The group grew", kept in the booking's history.
The customer is not notified: their tickets and wallet passes show the new table.
Refund a balance
When a booking has paid more than it now costs, for example after moving to a smaller table. Refund balance sends the difference back, to the card or the way it was taken. The booking stays as it is, and the booking fee is kept. Add an optional reason, such as "Moved to a smaller table".
